Executive Assistant

The role of Executive Assistant involves providing administrative support for several members of the Brookfield Infrastructure Finance team.  We are looking for someone who is proactive, organized, client focused and successful working in a dynamic environment.

Primary responsibilities include the following:

  • Edit PowerPoint presentations for varying audiences (investors, senior management, etc.) with a focus on accuracy and formatting
  • Process changes, format and design Fund quarterly and annual reports in Microsoft Word
  • Print, bind and coordinate distribution of quarterly and annual reports and presentations
  • Develop and edit memos, charts, tables, graphs in Word, Excel, and PowerPoint
  • Schedule and organize activities such as team events, client meetings, conference calls, and travel arrangements for all members of the team
  • Perform administrative and office support for multiple team members
  • Manage expense reports in a timely manner
  • Sort and distribute incoming, outgoing and courier mail packages
  • Respond to email and telephone correspondences for all routine and non-routine inquiries
  • Ad hoc support as required

  • 2-5 years of relevant work experience in an office environment;
  • A strong team player with a positive attitude;
  • Self-motivated, proactive and demonstrates initiative; ability to work in ambiguous and somewhat  unstructured environment;
  • Excellent with time management and  organizational skills - to  be able to arrange conference calls, manage multiple calendars and meetings, travel requirements and bookings across time zones;
  • Strong interpersonal skills and ability to handle confidential and non-routine information;
  • Exceptional professional decorum, interacts and communicates with individuals at all levels both internally and externally with ease;
  • Must have a strong working experience and knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software, namely MSWord, Excel, PowerPoint  (Concur, Adobe InDesign knowledge is helpful);
  • Pays continual attention to detail in composing, typing and editing/proofing materials, establishing priorities and meeting deadlines;
  • Able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands;
  • Available to work overtime or be on call after hours to respond to changes, scheduling conflicts and travel changes. (These situations are not expected to be regular occurrences, but if required, ample notice will be provided.)
  • Cultural/ fit:  Professional business presentation, very polished communication skills and fluency in English.
